Position Title Advancement Coordinator - Northeast
Position Summary

The Advancement Coordinator – Northeast is expected to work in the New York Metro office and provide support for all members of the Northeast regional advancement team.

Primary responsibilities:

  • Greets visitors and handles general inquiries from donors, alumni, parents and friends, volunteers and university leaders, faculty and staff with courteous, clear and direct communications.
  • Coordinate events, schedule meetings, manage team calendars and travel arrangements and reimbursements.
  • Conduct special projects as assigned, and support activities required to prepare, submit and manage gift proposals to donors and donor prospects.
  • Prepares correspondence (e.g. letters, memos, fundraising commitments and mail merges). Run and compile reports as needed. Process billing invoices, delivery daily office mail and manage office practices and procedures.
Required Qualifications

EDUCATION:
Bachelor’s degree in a related field or the equivalent combination of education, training and or experience.

COMPETENCIES:

  • Comprehensive knowledge and experience in a fast paced office environment with a good understanding of general office procedures, practices and prioritization of work flow.
  • Understanding of an environment of fund-raising, donor relations, and higher education with respect to confidentiality of information that relates to the donor base.
  • Strong analytical, problem-solving and organizational skills, with the ability to resolve problems, respond to inquiries, obtain and disseminate information. Demonstrated ability to manage multiple relationships and priorities concurrently within specific deadlines.
  • Proficiency with a variety of software applications to include web-based applications and MS Office (with strong skills in Word and Excel), to include creating mail-merges and develop spreadsheets with formulas and data links.
  • High level of professionalism, working independently and efficiently, while exercising sound judgment in all responsibilities.
  • Excellent customer service, oral and written communication skills, with the ability to work effectively with a variety of internal and external constituencies, while exercising tact and diplomacy in all interactions.

EXPERIENCE:

  • Experience working in an administrative support position with-in a fast-paced, customer service office environment.
  • Demonstrated experience performing a variety of administrative support functions.
Preferred Qualifications

COMPETENCIES:

  • Knowledge of Advance or similar development software program is highly preferred.
  • Familiarity with fundraising/donor relations environment is highly desirable

EXPERIENCE:

  • Experience supporting multiple staff in a fast-paced deadline driven environment is highly preferred.
  • Experience with event planning/coordination and making travel arrangements is highly desirable.
  • Experience extracting data and producing reports is desirable.
  • Experience supporting budget functions (e.g pressing reimbursements, invoices and ordering supplies is a plus).

Conditions of Employment:
  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may require infrequent occurrences of overtime and weekend work due to special projects or events, as directed and approved by the supervisor.
  • This position is expected to work in the New York Metro Area office.

This is a restricted position and continued employment is dependent on funding.
