Position Summary

University Advancement strives to foster lifelong relationships among all constituents with the university. University Advancement includes all William & Mary efforts related to alumni engagement, private fundraising and philanthropic outreach, and marketing and advancement communications.

Reporting to the Director of Alumni Engagement Programming, the Assistant Director of Alumni Engagement Programming organizes and executes varied engagement opportunities for over 95,000 alumni and friends of the College through specific events and advisory councils.

Serves as a liaison for Alumni Engagement within University Advancement and across campus, the Assistant Director manages volunteers and students in the execution of events, activities and organizational meetings and is responsible for the coordination of various events and activities, planned and hosted by the Alumni Association.

The position also serves as co-advisor to Students for University Advancement, to promote student philanthropy education, and serve as a resource to the advancement administration.

The Assistant Director assists in the delivery and execution of other programs/events held by the Alumni Association and University Advancement and a variety of student events. This position will work with the Director of Events to oversee budgeting and tracking of funds as associated with events.

Specific responsibilities include (but not limited to):

  • Identifies and cultivates alumni volunteers to significantly increase alumni engagement.
  • Provides pre-planning, onsite management, and follow-up of assigned engagement opportunities and programming. Designs, develops, and executes events within timeline and budget parameters.
  • Collaborate on marketing and collateral pieces to include programs and invitations, as well as the website and email communications strategy per event. Tracks, maintains, and propagates the information from post-event communications and data.
  • Collaborate with colleagues in other departments to create and maintain pathways for alumni, specifically student and young alumni participation that advance the goals of the university.
  • Researches current industry trends and new event ideas to assure that events are fresh, engaging and impressive for donors, alumni & prospective donors with a specific focus on student & young alumni engagement programming.
  • Executes other special projects and tasks as assigned by supervisor.
Required Qualifications

Bachelor’s degree with significant professional experience or significant expertise directly related to the position.


  • Knowledge of programming and event coordination, with the ability to develop alumni engagement opportunities and / or special events.
  • Demonstrated creativity with the ability to develop strategies for alumni and coordinate effective alumni engagement opportunities.
  • Excellent skills in cultivating relationships including outstanding interpersonal, verbal and written communication abilities, with the aptitude to understand and tend to the needs of alumni body, enthusiastically, promptly and effectively.
  • Strong project coordination skills with the ability to create comprehensive event timelines from conception through follow-up. Careful attention to detail with a high level of accuracy.
  • Strong problem solving and analytical skills, with the ability to exercise sound judgment when making decisions or recommendations.
  • Demonstrated proficiency with a variety of software applications, including MS Office. Demonstrated skills with a variety of databases and web-based applications.
  • Strong organization skills with the proven ability to balance competing priorities, complex situations within tight deadlines.
  • Knowledge of event marketing through both conventional and new, unconventional methods with the ability to establish and implement goals.
  • Proven ability to work collaboratively as a team player as well as develop and foster communication and teamwork with a diverse audience including alumni, donors, faculty, staff, students and the University community.
  • Ability to lift 25 lbs.


  • Experience in event planning or coordination
  • Experience developing and managing programs for a constituent group.
  • Experience in volunteer management, customer relations, alumni relations, fundraising or a related field.
  • Experience working with caterers and vendors.
Preferred Qualifications


Council for Advancement and Support of Education (CASE)


  • Familiarity with creating and promoting events through various communication channels.
  • Extensive knowledge of the campus, mission and traditions of William & Mary.
  • Demonstrated skills using online event registration systems is desirable.
  • Strong personal connection to William & Mary campus and traditions is desirable.


  • Substantive experience managing volunteers or constituents is highly desirable.
  • Experience with Advance, Salesforce or other Customer Relationship Management (CRM) system is desirable.
  • Experience with Cvent and/or Social Tables.
  • Experience working with VIPs such as elected officials, celebrities, or affluent visitors is desirable.
  • Experience in event planning for higher education is a plus.
  • Experience creating programs for students or young alumni is a plus.
